Purpose of Position
Processing of Customer Bookings or Orders within the applicable guidelines whilst at all times ensuring total Customer Satisfaction and Operational Excellence through flawless communication and operation.

Execute the tasks of the Document Processing Operations department in line with current guidelines and procedures. Ensure high accuracy and productivity of all Operations output and perform all in view of our Operational Excellence.
  






Tasks

Import
To follow up on Arrival Notice and correctly process inbound orders in line with received timeline and orders/guidelines.
Prepare arrangement for clearance and delivery.
Feedback to Customers and PA overseas stations on executed activities and incurred charges.

Export
To follow up on Routing / Shipping Orders and correctly process outbound orders in line with received timeline and orders/guidelines.
Execute bookings and delivery/pick-up arrangement.
Feedback to Customers and PA overseas stations on executed activities and incurred charges.

General Duties
Ensure Customer Satisfaction and Customer retention by providing timely, friendly and excellent Customer Service.
Perform all tasks/activities within SOP and quotation from M&S and PA overseas offices.
Issue required Operational Documents in line with instruction as received from Customer Services.
Execute all Documentation in line with current legal guidelines and Customer SOP(s).
Verify and confirm DRAFT documents with relevant Customer/Shipper.
Check shipping documents and container loading plan or manifest.
Correctly execute all computer data input (FOS / ACI / PACOM / PANTRANCE) as required for the relevant shipment and its destination.
Interface with Agents/Subcontractors to get all copies of YULUDAN within one week after vsl departure.
Ensure timely collection of all shipment related documents.
Send shipping advice & shipping documents to overseas stations including container loading plan / manifest, O-B/L, H-B/L (commercial invoice and packing list – if necessary)
Provide all necessary shipping documents to DPT on time for the updating of Track and Trace system.
Provide original PA-B/L, invoice and copies of YuLuDan to DPC for documents releasing.
Update required (internal) applications.






Check and verify correctness of received shipping and clearance documents.
Create and forward complete full and clear instruction to Document Processing department and assist when necessary.
Ensure correct physical file content before handover to Document Processing.
Calculate and register Estimated Gross Profit (EGP).
Work within Area guidelines and Company’s policies and procedures by accurate use of existing systems.
Update relevant internal/external application(s).
Act as escalation contact to all Customers when issues arise – regardless whether CS or DP issues.
Carry out improvement / changes on procedures and systems as proposed by supervisors.
Inform supervisors of any irregularities or problems that require assistance and to feedback on subcontractors’ standards and services.
Feedback pre-claim details and status to customers.
Ensure completion of physical file in line with issued instructions.
Ensure correct physical file flow management (creation/ updating/preparation for archiving).
Report and feedback on irregularities, pre-claims and problems to supervisors
Carry out improvement / changes on procedures and systems as proposed by supervisors
Take up additional tasks as assigned.
Back up for other team members when necessary.
  



Authority to decide

Making decisions in view of IMS processes.
Taking actions in view of operational excellence.
Exception handling ONLY after consulting with Document Processing Supervisor.







Requirements & Skills

n          Functional requirements
-     Excellent and thorough knowledge of Air/ Sea Export and Air / Sea Import.
-          Operational know-how (Customer Service and Document Processing)
-          Excellent knowledge and understanding of Customer Service requirements and general Documentation guidelines.
-          Comprehensive understanding of PA systems functionality.
-     Proficient in basic IT Tools.
